Privacy Policy

This policy explains what personal information Newbuild Automation collects through this website, what we do with it, and the control you have over it. We've written it in plain English rather than legal boilerplate.
Who we are
Newbuild Automation Ltd ("we", "us") is the data controller for the information described here. We build AI automation systems for home services and renewables trades in the UK.

What we collect
When you fill in the enquiry form
The form on our homepage asks for:
- Your name
- Your business name (optional)
- Your trade — for example electrician, plumber, solar installer
- Your phone number
- Your biggest current problem, chosen from a short list
That's all. The form doesn't ask for your email address, and there are no hidden fields.
When you book a call
Bookings are handled by Cal.com, embedded on our homepage. When you book, Cal.com collects your name, email address and any notes you add, and shares them with us so we can hold the meeting. Cal.com handles that booking under its own privacy policy as well as ours.
If you become a client
We hold your business name, contact email address and the details of your package. Card payments are handled by Stripe — we never see or store your full card number.
Automatically
Our hosting provider keeps standard server logs, which include IP addresses, for security and reliability. We don't run analytics, advertising or tracking cookies on this site. The Cal.com booking widget may set its own cookies when it loads.
Why we use it, and our lawful basis
- To reply to your enquiry and talk to you about our services. Our lawful basis is legitimate interests — you asked us to get in touch, and responding is what you'd expect.
- To deliver services you've signed up for. Our lawful basis is performance of a contract.
- To keep accounting and tax records. Our lawful basis is compliance with a legal obligation.
We use your details to contact you about Newbuild Automation's services and nothing else. We don't add enquiries to a marketing mailing list, and we don't run automated decision-making or profiling.
Who we share it with
We never sell your information, and we never share it with anyone for their own marketing. We do rely on a small number of service providers who process data on our behalf, under contract and on our instructions:
- Supabase — hosts the database where enquiry and client records are stored
- Cal.com — runs the booking calendar
- Stripe — processes client payments
- Our website host — serves this site and keeps the server logs described above
We may also disclose information if the law requires it, or to establish or defend legal claims.
Where your information is stored
Our database is hosted by Supabase in the region we selected when the project was created. Some of our providers, including Stripe and Cal.com, may process data outside the UK. Where that happens, the transfer is covered by the safeguards those providers put in place, such as the UK International Data Transfer Agreement or the UK extension to the EU Standard Contractual Clauses. Email us if you'd like the specifics for your data.
How long we keep it
- Enquiries that don't become work: up to 12 months from your last contact with us, then deleted.
- Client records: for the length of our engagement, then six years, because company and tax law requires us to keep financial records for that long.
Your rights
Under UK GDPR you have the right to:
- Ask for a copy of the information we hold about you
- Have inaccurate information corrected
- Have your information deleted (see below)
- Ask us to restrict how we use it
- Object to us using it on the basis of legitimate interests, including at any time for direct marketing
- Ask us to transfer it to you or another provider
Exercising these rights is free, and we'll respond within one month.
How to ask us to delete your information
Email hello@newbuildautomation.co.uk with the subject line "Delete my data", and tell us the name and phone number you used so we can find your record. You don't need to give a reason.
We'll delete it and confirm in writing within 30 days. The only thing we may keep is information we're legally required to hold, such as invoices for completed work — if that applies to you, we'll tell you exactly what we've kept and why.
Complaints
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Changes to this policy
If we change how we handle personal information, we'll update this page and change the date at the top.
